The names you choose for objects in Intraspect can have an effect on the future value of the group memory. Careful naming will pay off in the future when you or your colleagues search, interpret and re-use your enterprise group memory.

  • Folder names

    The names of folders should convey the business context in which you found a particular document to be of value. For example, a document about a competitor's new product might be placed in a folder called Competitors because that is the meaning of the document in the business context. If you or your colleagues came across this folder, you would understand the context and meaning of its contents, especially if the Competitors folder were found inside the Marketing area of the Intraspect Workplace.

    If a particular competitor warrants a large number of collected documents, you can create a sub-folder within the main folder. For example, you could create a sub-folder for the company VaporTech within the Competitors folder.

    With a little practice, choosing names becomes a simple extension of your business processes.

  • Discussion names

    The name you give to a discussion, like that of a folder, should convey its business context or focus.

    Discussion names should be as specific as possible, as well as unique. For example, a discussion about VaporTech might be called VaporTech Competition. The names of discussions — unlike e-mail addresses for discussion objects (see next section) — can be usefully capitalized, can contain spaces, and can have longer titles.

  • E-mail addresses for discussions

    When there are Discussion Recipients, the discussion e-mail address is used to distribute postings to all of them. As before, the name of the discussion should be unique and specific; but additional restrictions apply:

    • the name must be unique throughout your organization; once you specify a discussion e-mail address, no one else can use that address
    • the name must be a valid Internet e-mail address; that is, only letters, numbers and dashes (hyphens) can be used
    • the name is interpreted as all lowercase
    • the name should be short and evocative of the discussion's focus, while maintaining its uniqueness; this makes the discussion easy to use (to type accurately and remember)

  • Re-use

    A carefully chosen name can help you to recognize and remember a folder or a discussion that you were already aware of. A name also determines the value of objects that you have never seen before, such as the documents and discussions that you find when you do a search in the Intraspect Workplace.

    By carefully choosing useful names for objects in Intraspect, you can improve the value of the Intraspect Workplace as a group memory for your organization.
